Cancellation Policy

Any cancellations require 24 hours notice to receive a refund for the booking any cancellation made within 24 Hours will not receive a refund. By booking, the Hirer agrees to the following in relation to consoles, controllers, cables, games and accessories provided by The Coffee Guild Ltd ("the Equipment") during their session. 1. Condition. The Equipment is provided in good working order unless otherwise noted by staff before the session starts. Any faults must be reported before use begins. 2. Hirer responsibility. The Hirer is responsible for the Equipment throughout the session and agrees to use it as intended, keep it within the venue, not attempt repairs themselves, and report any damage or missing item to staff immediately. 3. Damage charges. If Equipment is returned damaged beyond fair wear and tear, the Hirer agrees to pay the reasonable repair cost, or full replacement cost if repair isn't possible or economical. Evidence (e.g. photos) will be provided on request. 4. Missing items. If any item cannot be located at the end of the session, the Hirer agrees to pay its full replacement cost. Staff will check Equipment against the starting inventory promptly and notify the Hirer if anything is missing. 5. Replacement cost. This means the current cost to The Coffee Guild Ltd of sourcing an equivalent replacement (same or nearest comparable model/condition), plus an admin fee of £5. 6. Card charges. The Hirer authorises The Coffee Guild Ltd to hold their card on file and charge it for amounts due under clauses 3–5. The Hirer expressly consents to these charges being processed after the session ends, once Equipment has been checked, without further authorisation at the time. Charges will be notified with reasons before processing, typically within 2 days of the session. Card details are handled by our payment provider under PCI-DSS; we don't store full card numbers. 7. Disputes. Disputes must be raised in writing within 7 days of notification; we'll review and respond within 7 days. Nothing here affects the Hirer's statutory rights.
